Privacy Policy

Introduction

The Australian Wine Research Institute (the Institute) is bound by the Privacy Act 1988 (Cth) regarding the manner in which it collects, handles, uses, stores and deals with personal information about a variety of people.

This document spells out the Institute’s information handling procedures and the rights and obligations of the people whose personal information is collected by the Institute.

The Institutes Business

The Institute obtains its funding from:

  • wineries and grapegrowers paying the Grape Research Levy and the Wine Grape Levy, with matching funding from the Australian Federal Government, administered by the Grape and Wine Research and Development Corporation; and
  • fee-for-service work from its customers

Collection of information

In order for the Institute to conduct its business, the Institute:

  • obtains a list of levy payers from the Department of Agriculture, Fisheries and Forestry each year;
  • retains information about its fee-for-service customers; and
  • updates its databases with reference to websites and publications such as the Australian and New Zealand Wine Industry Directory.

The Institute only collects information required for the conduct of its business.

Sensitive information is not usually collected and retained by the Institute unless:

  • the collection is required by law; or
  • the collection is necessary to prevent or lessen a serious and imminent threat to the life or health of any individual. In this instance, consent from the individual would be sought.

Use and disclosure of information

The personal information held by the Institute is not revealed nor made available to any third party by the Institute unless:

  • it is reasonable to do so in order to facilitate the conduct of the Institute's business and the individual would reasonably expect the Institute to use or disclose the information to a third party;
  • the Institute is required by law; or
  • consent has been obtained from the individual who belongs to that information.

The information collected and maintained by the Institute is used in a variety of ways by the Institute, including:

  • Compiling an electoral roll for election of Councillors of the Institute
  • Facilitating direct mail to levy-payers of information from the Institute, including its publications: Technical Review and the Annual Report
  • Confirming the identity of companies that are entitled to receive our problem-solving service, free of charge.
  • Providing the updated password to levy-payers for access to the Library’s on-line database
  • Providing levy-payers and fee-for-service customers with the updated Analytical Service Fee Schedule
  • Distribution to levy-payers and fee-for-service customers of survey forms from the Institute or may be surveyed by phone regarding the Institute’s services

Identifiers

The Institute uses its own unique identifier numbers and does not collect unique identifiers of individuals from other organisations such as Medicare or the Australian Taxation Office.

Security of personal information

The Institute takes all reasonable care to ensure that any personal information is kept securely and disposed of when it is not longer necessary to retain it to fulfil the purposes for which the information was collected or as required by law.

When using the Institute's website, individuals should be aware that no data transmission over the Internet can be guaranteed as totally secure.

Access to personal information

The Institute will take reasonable care to ensure that personal information is kept accurately, is complete and up to date. Upon receipt of a lawful request, we will advise individuals what type of information on that individual is held by us, for what purpose, how it was collected, how it is held, used and disclosed.
